Terms & Conditions

These Terms & Conditions form a legally binding agreement between you (“the Member”) and Carpe Diem BJJ Ltd (“Carpe Diem BJJ Ltd”, “we”, “us”). By becoming a member, you agree to comply with these Terms & Conditions.

 

1. Membership & Payments
  • 1.1 Memberships are ongoing monthly agreements until cancelled in accordance with Clause 2.

  • 1.2 Membership fees are collected by Direct Debit on the 5th of each month.

  • 1.3 You must maintain valid payment details on file at all times.

  • 1.4 If payment is not received by the 10th of the month, your membership will be suspended until payment is received in full.

  • 1.5 If payment remains outstanding beyond 14 days, your membership will be cancelled and you will not be permitted to train at Carpe Diem BJJ London until all outstanding fees are paid in full.

  • 1.6 Membership fees are payable in full regardless of attendance.

 

2. Cancellations
  • 2.1 A minimum of one full calendar month’s notice is required to cancel your membership.

  • 2.2 All cancellation requests must be submitted by email to billing@carpediembjj.co.uk. Requests by phone, text, social media, or in person will not be accepted.

  • 2.3 Notice is effective from the date your email request is received. Your membership remains active and billable until the end of the following full billing month.Example: If you cancel on 10 March, your membership will remain active until 30 April and you will be billed in full on 1 April.

  • 2.4 Your final month’s fee is payable in full regardless of attendance during that period.

  • 2.5 A £20 rejoining fee applies if you return after cancelling.

  • 2.6 Cancelling your Direct Debit or failing to pay does not constitute cancellation. The required notice period still applies and fees remain payable until cancellation is confirmed under this clause.

3. Freezes
  • 3.1 Freeze periods are available for any reason at Carpe Diem BJJ London's discretion.

  • 3.2 Freeze periods have a minimum term of 4 consecutive weeks.

  • 3.3 A freeze will start no earlier than one full month after the date your request is received and approved. Freeze periods cannot be backdated.

  • 3.4 If a freeze starts mid‑month for example, any unused days will be credited to your account and applied automatically when your membership is reactivated. Credits are applied against future training fees only and are not issued as cash refunds.

  • 3.5 All freeze requests must be submitted by email to billing@carpediembjj.co.uk

  • .3.6 A freeze fee of £20 applies for each freeze period.

  • 3.7 The maximum freeze period is three months. If your membership is not reactivated within three months, it will be treated as a cancellation and the rejoining fee will apply should you return.

 

4. Attendance & Conduct
  • 4.1 All members must sign in before each class using the iPad provided.

  • 4.2 Members must follow all coach instructions for safety.

  • 4.3 Members must report any injury sustained during class that is more than a minor cut or bruise, including but not limited to: suspected ligament strains or tears, significant joint pain, heavy blows to the head or body, suspected concussions, dislocations, fractures, deep cuts, severe muscle strains, or any injury that may limit safe participation in training.

  • 4.4 Training in a manner deemed unsafe or outside instruction may result in immediate removal from class and possible termination of membership.

  • 4.5 Members must treat coaches, staff, and other members with respect at all times.

  • 4.6 Unsafe, abusive, or disruptive behaviour will result in suspension or termination of membership without refund.

5. Hygiene & Mat Safety
  • 5.1 Members must maintain high personal hygiene standards:

    • Clean training kit

    • Trimmed nails

    • No training when ill or with any contagious skin condition

    • No training with open wounds of any kind

  • 5.2 Carpe Diem BJJ London may refuse entry if these standards are not met.

 

6. Parents & Guardians (Junior Members)
  • 6.1 Parents/guardians are responsible for children before and after class.

  • 6.2 Carpe Diem BJJ London is only responsible for children during scheduled class times.

  • 6.3 Parents/guardians must remain on‑site during class unless their child is able to attend the toilet independently.

  • 6.4 Carpe Diem BJJ Ltd staff will not escort children to the toilet or assist with changing in the changing rooms.

7. Refunds & Non‑Attendance
  • 7.1 No refunds or credits will be given for periods of non‑attendance unless a freeze has been agreed in advance.

  • 7.2 Membership fees are non‑refundable in whole or in part once a billing cycle has started, except where required by law.

 

8. Lockers & Valuables
  • 8.1 Shelves are available for member use during training.

  • 8.2 Use of shelves/storage is at your own risk.

  • 8.3 Carpe Diem BJJ Ltd accepts no responsibility for items left unsecured or overnight. (This does not apply to members subscribed to the Locker and Laundry service).

9. Changes to Terms
  • 9.1 We may update these Terms & Conditions with reasonable notice. Continued membership constitutes acceptance of the updated terms.

10. Member Photography & Filming
  • 10.1 Members may take photos or short video clips for personal use, provided it does not disrupt classes or make other members uncomfortable.

  • 10.2 Filming or photography of any person without their knowledge or consent is strictly prohibited.

  • 10.3 Taking or sharing photos or videos of children other than your own is strictly prohibited without the explicit consent of their parent or legal guardian.

  • 10.4 Members must seek consent from anyone identifiable in their photos or videos before posting online.

  • 10.5 Carpe Diem BJJ Ltd reserves the right to request the removal of any content that breaches these Terms & Conditions, breaches another member’s privacy, or misrepresents the gym.

  • 10.6 Breaches of this clause may result in suspension or termination of membership without refund.

Note: These Terms & Conditions are in place to keep training safe, fair, and enjoyable for all members. Our aim is to be flexible and helpful wherever possible, but we have to be clear about our policies so the gym runs smoothly for everyone.
